We are looking for an exceptional, experienced, and highly dedicated Executive Assistant to the Senior Director of HR & Compliance (Senior Director of HRC). The ideal candidate will be an administrative professional committed to getting results in a fast-paced, collaborative, and strategic growth-focused environment. This position is based in our New York, NY or Washington, DC office and reports to the Senior Director of HR & Compliance.


Complex Calendar Management & Travel Coordination

  • Coordinate the Senior Director of HRC’s schedule with a strong understanding of shifting of regular priorities to maximize impact and workflow
  • Lead scheduling internally and externally with various internal teams on behalf of the Senior Director of HRC, acting as a key liaison and representative for the Senior Director of HRC’s Office
  • Flawlessly manage and coordinate various travel arrangements for the Senior Director of HRC and/or those collaborating with the Senior Director of HRC’s Office, ensuring accuracy, efficiency, and impeccable attention to detail with shifting needs and priorities
  • Coordinate and execute logistics for all Senior Director of HRC hosted meetings and events, coordinating contractors and vendors as needed
  • Create meetings and associated timelines; prepare and distribute meeting notifications, agenda materials, and manage all correspondence and meeting execution with the highest level of accuracy, efficiency, and attention to detail


Data Entry & Records Management

  • Ensure efficiency, accuracy, and quality control for the Senior Director of HRC’s financial reports and vendor contracts, tracking and reconciling all expenses in collaboration with the Finance department
  • Complete and submit Senior Director of HRC’s timesheets and department invoices effectively and efficiently, minimizing any margin of error or risk
  • Collaborate with other departments to produce and/or collect accurate data for reports and other actionable items for the Senior Director of HRC’s Office
  • Manage and update the Senior Director of HRC’s Office files with the most current content for the Senior Director of HRC’s briefings, travel, meeting schedule, etc. with ultimate discretion
  • Assist in the preparation of documents and presentations for both internal and external meetings (including copyediting)
  • Support the Senior Director of HRC in ensuring that meetings, deadlines, presentations, and other duties are carried out seamlessly
  • Ensure that all meetings and correspondences involving the team run smoothly and professionally, including taking meeting minutes and following up on action items
  • Maintain the Senior Director of HRC’s email inbox; ensuring that it is well organized for timely and efficient responses

Additional Administrative Responsibilities

  • Routinely exercise discretion while assisting the Senior Director of HRC in enforcing management policies and general business operations for COC
  • Lead and support administrative projects; ensuring that they are accomplished in a timely and accurate manner, continually updating the Senior Director of HRC with status reports
  • Provide support for other administrative positions and duties as required, including event management
  • Participate as a member of the administrative team, ensuring processes are efficient
  • Develop and nurture relationships with key operational stakeholders, both internal and external
  • Maintain absolute discretion and confidentiality in all verbal and written communication including messages, calls, and reports; treat all information confidentially.
  • Light research as needed
  • Travel independently and with the Senior Director of HRC (15%) in support of engagements
  • Any other duties as assigned to help the HRC team members do their best work


The ideal candidate for this position will be a highly organized self-starter with exceptional skills in creative problem-solving and verbal and written communications. While experience in a similar role in the civil rights sector is not required, a commitment to civil rights and racial justice is. You should have:

  • At least 2-4 years of experience in an administrative role
  • Effective communication skills. The ability to clearly communicate with the Director Level staff you are supporting and others in the organization is paramount; especially in fast-paced moments, you’ll need to be clear and ask for clarity in return.
  • Top-notch organization skills. There’s a lot to keep track of in this role, and nothing can fall through the cracks. Meeting deadlines is key.
  • A sense of ownership. The Executive Assistant allows key members of the team to perform at the highest possible level. A successful candidate will be responsive but also proactive. Importantly, you’re able to work calmly and intentionally under pressure.
  • A commitment to confidentiality. In this role, you’ll have a window into movement and organizational politics at the highest level – confidentiality is key.
  • Strong writing and verbal skills. The ability to communicate information clearly is fundamental to this role. You will be asked to draft documents, edit others, and communicate with a variety of internal and external stakeholders. You should have a high level of proficiency in MS Office and Google suite.
  • Exceptional problem-solving skills. In this position, there’s no one to hold your hand. A successful candidate will enjoy thinking on their feet and will know how to apply sound judgment and rationale to any situation.

The salary for the Executive Assistant position is $72,000. This is a full-time exempt position. Color Of Change also offers a competitive benefits package.
